Introduction
Activity and Task-level permissions follow the RACI model: this is an acronym derived from the four key responsibilities: Responsible, Accountable, Consulted, and Informed. Each has its own distinct behaviours which are described fully below.
Below is a summary of privileges that each RACI level provides:
R | A | C | I | |
Can see the Activity on the My Activities page | Y | Y | Y | Y |
Can see tasks belonging to the Activity in the Activity Snapshot page | Y | Y
Will receive tasks in their Task List for completion | Y
Will receive an email when the task starts | Y | Y |
Domain Admins can set RACI assignments in Activity Templates.
- All four RACI assignments can be set for individual tasks within the template, which may be required for users who should not be assigned to the full list of tasks but to a select few.
- Activity-wide RACI assignments are limited to: Accountable, Consulted and Informed.
RACI in the Activity Summary
In the Activity Summary view, you can see everyone with a RACI responsibility under the 'Key Metrics' tab.
Under the Tasks tab, you can see the RACI responsibility each assignee has for a given task by clicking on the drop-down arrow next to a name.
What shows up in My Activities?
A user with any RACI assignment at the Activity level will see the Activity in the My Activities page whilst the Activity is running or paused.
A user with any RACI assignment at the task level will see the Activity in the My Activities page whilst the task is running or paused.
Responsible
The RACI Responsible assignment is the person that does the work to achieve the task. They can only be set at the task level and not the Activity Template level
A user assigned as RACI Responsible on a task will receive a notification for each task they are assigned as Responsible. The task notification contains a link to access the task directly (login or active session required).
Every task has a Responsible assignee (as shown below).
Accountable
The Accountable user is the one ultimately answerable for the correct and thorough completion of the Activity or task but are not required to complete any work/tasks. They must be able to get to, be informed of, and be able to manage Activity.
A user assigned as RACI Accountable on an Activity will see running task(s) belonging to the Activity in the Activity Snapshot page where they can Send Reminders to task 'responsible' assignees.
Consulted
Consulted users are required to be able to give input on the activity in the form of comments or annotations. Typically they are subject matter experts: they need to see the activity, but are not required to complete work or manage activity.
The Consulted assignment can be used for approval tasks only. A Consulted assignee on an approval step will receive an email inviting them to review the asset, where they can add annotations and mark-up asset approvals, however, they cannot provide an approval verdict. If the Responsible assignee completes the task before the Consult has completed their review, the Consult's step will be skipped.
(For more information on Consult, please see our guide.)
Informed
Informed users need to know what's happening with the activity, but can't influence it in any way.
A user assigned as RACI Informed on an Activity will see running task(s) belonging to the Activity in the Activity Snapshot page where they can Send Reminders to task 'responsible' assignees.
E-mail Notifications
A user assigned as RACI Responsible for a task will receive an e-mail notification when that task status becomes Running.
If the user performing a cancel/delete/pause/resume action on the Activity checks the 'Send cancellation email to assignees' checkbox, any active RACI assignees tasks will receive an email informing them of the action that has taken place.
