Visual Briefs
This new Sunrise feature gives our users a simple and visual way to brief a studio or agency.
Users can pick an asset from either their computer or an existing Sunrise library which can then be annotated via the online approval tool to support briefing of a new artwork. This will make it easier to explain requirements, particularly when you need to adapt something existing for another variant or market for example.
Users will have a task ‘Upload Visual Brief’ which looks the same as any other asset upload task with the exception of it’s classification being defaulted to ‘Visual Brief Asset’.
If you select a file from a Sunrise Library as your visual brief it will create a copy of the asset. It will not revise the file you are selecting, it will only use the asset as a reference to depict the artwork you want to create. The file you pick from the library will remain intact in its original library. No changes will be made to it as a result of using an asset as a visual brief.
NB: If you genuinely want to revise the file you are selecting you would need to do this via the usual amends or EPD workflow to ensure a full audit history is kept for the asset.
When a user has a visual brief to annotate, they will see a task like so in their task list:
After annotating there will be no requirement to give a verdict or a rejection reason as the artwork is simply being used as a visual aid. They will only be asked to ‘Complete’ the brief task:
Once uploaded Visual Brief Assets (as with any other Sunrise asset) will be found in the ‘Assets’ tab of the activity:
You will also be able to select your ‘Visual Brief Asset’ to compare to when you reach revision 1 or beyond of artwork.
Anyone wishing to make use of the visual brief feature will need this configuring in their workflows by our Professional Services team who can scope how this will fit within your processes and workflows.
Linked Activity Enhancements
We have made some great enhancements to the Linked Activity tab, making it quicker to load and easier to use!
When you access the Linked Activity page, you will now be able to see all activities (including parent and child activities) and will be able to expand each activity. Expanding the activities will show the status of each, its running tasks, assignees and the task’s due date.
If you click on any activity name this is a hyperlink into that activity (thus giving you a quick way to navigate between parent and child activities). You can also use the “+” button, which will expand all activities at once. If you hover over their avatar it will also display the user’s name.
Asset Libraries
We have now introduced filtering and sorting the Asset Libraries page. Users can sort by; ‘Date Created’, ‘Asset Count’ and ‘Name’ and can switch the sorting from ascending to descending:
You can also now search via name of the library in the search box, you will need to press enter to show the results:
Abort Approvals
A user is now able to abort approvals where they are accountable for the activity even if the activity is not built in their domain, i.e. an artwork agency contact can abort an approval for one of their clients. This is done via the Tasks tab for the activity as standard.
Approval Bypass
Feedback we received regarding bypassing approvers was that it was frustrating to have to expand your assignments to bypass them when there was only ever 1 assignee on the approval step.
Therefore, if you want to bypass an assignee on an approval and they are the only one on the step, you can do this via the step ‘…’ context menu instead of having to expand the assignment first.
De-Activating User Accounts
There is an existing feature in Sunrise that can be used to allow for re-allocation of work when users depart from a business. In a user’s profile you can see that you can add ‘Deputise to’ and ‘Escalate to’ contacts. When a deputy has been selected and the user is de-activated, all running tasks will be transferred to your deputy. In the event that the deputy has also left the business, the running tasks will be transferred to the ‘Escalate to’ contact selected.
We have also updated the email that is sent to Domain Administrators when a user is de-activated and they have not set up either their ‘Deputise to’ or ‘Escalate to’ contacts to show only the tasks currently assigned to them as a user, not tasks they have as being part of a role. This should help in re-allocation of tasks.
New Asset Picker Design
As part of our improved look and feel roll-out, we have now updated our Asset Picker pop-up.
When you pick an asset from a Sunrise Library, you will notice there is a new design. The search bar is now next to the library name and to see the filters you will need to click on the filter icon:
The assets are now displayed in a consistent format with our Sunrise Libraries. You can also now ‘Jump to’ another page if you are searching through a lot of assets and display more than 10 at time if needed.
Missing or invalid data in your forms
We have made it easier for you to find validation errors on your forms. You can now see a summary of all validation errors at the top of the form which can be expanded.
When expanded, you will be able to see the field(s) that contain errors and the form it belongs to, making it quicker for you to amend any mistakes and save your work.
Other useful updates
- We have introduced a file upload size limit of 2GB, this is to avoid issues such as timeouts. Files can still be zipped and uploaded if needed.
- You can now access Commercial Forms from your Tasks tab in the Activity Summary Page by clicking on the task name, which is now a hyperlink.
- Updated our scheduled indexing jobs to improve system performance.
Bug Fixes
- Corrected button sizes to be consistent across Sunrise.
- Fixed an asset library error 500 when trying to move 25+ assets from library to another.
- Fixed bug to allow the ‘Product Hub’ Feature Flag to be turned off.
- Fixed bug with timeout period elapsing prior to obtaining a database connection from the pool.
