LP2: Complete a File Release Task

The file release task allows e-flow users to release files from the system to the relevant recipients. This task allows an admin user to configure a brief, add default recipients (internal/external) and control if the end user can change these recipients.

Users receiving this task to complete will see this icon next to the task name in their Tasks page:

How-to:

1. Once you have navigated to your task, you will see a view like the below screenshot.

Note: there may be Brief Instructions and/or default contacts selected if this has been configured to do so.

2. Select all contacts you wish to receive the file.

  • Add Internal Contacts: click on 'Pick contact(s)' to select from a list of e-flow users connected to your organisation
  • Add External Recipients: in the text box reading 'Add Addresses', manually type the email address for the intended recipient and press ENTER to add.

3. Click on 'Complete' in the top-right. This will bring up a modal where you can attach a message to the file release e-mail.

4. Click 'Release File' to send the asset to the selected contacts.

5. All recipients will receive an e-mail (pictured below) containing a PIN to enter when they have clicked the button to 'Download File'.

Note: The file release e-mail subject line includes the organisation name and file name.

PLEASE NOTE: if you see a message saying the 'link is no longer active' when trying to download the file, this will be due to one of the following reasons:
