Asset Expiry Updates

We have enhanced the visibility of expired assets in e-flow to include assets which are due to expire within the next 7 days. These will be displayed through displaying the Expiry date in the details section in red, with a countdown to show how many days before the asset expires:

In the asset library in the list and grid view, the 'Expires' column text will turn red

We have also included the following enhancements to how expired assets are communicated in the application:

Asset Preview page will display the filename in red, the 'EXPIRED' lozenge will be seen in the menu bar and the 'Expiry Date' in the details section will display in red: 

When viewed in the list view in the library, the filename text will be red and in the Expires column, the date of expiry will be in red:

Viewing the library in Grid View will show a thumbnail of the asset with a red border, the asset name and expired section also in red:


Auto Link Assets

The Auto Link Assets is a new feature which can be configured into a workflow to allow library assets to be automatically linked and referenced within an activity, such as brand guidelines.

To enable this functionality in e-flow, an asset library containing the assets must be linked to a category item, this can be done whilst creating the category item or retrospectively by editing the category item and adding the 'Linked Asset Library'. 

Unlinking, or updating the linked asset library can be done by editing the category item and either selecting 'None' or selecting another asset library. The asset library must be in the same domain as the configuration. 

To configure this feature into a workflow, there is a new task available called 'Auto Link Asset(s)'. This is a system task with the following options, where either one or both configuration options can be configured:

  1. Source Library - configuring this option into the template will always pull assets from the library selected into the workflow. 
  2. Source Category Field - this option identifies the category selected in the workflow, and if the category is linked to an asset library, the assets from the library will link to the activity.

To have greater control of the types of files which are linked, there is an option to 'Ignore Assets which are Expired' and 'Only select assets with a verdict of Approved'.

Multiple Auto Link Asset tasks can be configured into a workflow. 


Auto Decision Task

The decisions functionality has been updated to allow greater flexibility on decision routing in e-flow.

A new standalone system task has been developed, which can be configured into workflow templates which allows decisions to be triggered at any point in an activity and can be followed by any system task, with any combination of decision rooting.

The decisions task uses the values from the dropdown form task and supports the multi-select field option, this allows configuration of workflow templates to progress a selection of multiple routing decisions.

The Auto Decision task is identified by a new icon, there is no task assignment associated with the task, the task will auto complete once it is triggered in the workflow template and no additional actions can be actioned on this task.


File Release > Placeholder text for External Contacts

Supporting text has been added to the Add External Recipients field in the file release task to prompt users to press 'enter' to confirm adding an external email address. 

When successfully adding an email address to this field, the email address will be displayed in a lozenge underneath, and can be removed by selecting the 'x'.


System Emails > Overdue Task

A new system email has been added which sends a notification when any workflow task becomes overdue

 


Notification Hub Updates

Linked Asset Filters

The filter options in the 'Link an Asset' modal have been updated so that users can refine by classification and verdict of assets available to select from in the modal, and also use the free text search feature.

Signposting in Activities

When an activity has a running notification ticket associated with it, a new bell icon will display in the activity status bar as follows:

Clicking on the bell icon will open the notification tab in the activity to display all notification tickets:

Note: the notification icon will only display for organisations who have the Notification Feature flag turned on. 


Password Change

When a password change is initiated in e-flow through either the login screen or the account management page, this will force a log out of all other active sessions for that user, forcing the new password to be used in all instances.


API Updates

Assign / Unassign Cross Domain Roles

The API call for assigning and unassigning roles across domains is now configurable

User Status in Response

The status of a user is now returned in the GET contact API calls
