Batch Download on any activity status

The Batch Download feature in an activity now supports the ability to download the activity assets when an activity is complete, previously this feature was only available when the activity was running. 

Bypass Roles

Workflow tasks which have been assigned to a role or group of users, now has the option to be bypassed if the task has been configured to be bypassable. 

File Release Updates:

E-mail subject line update

The subject line of the file release email has been modified to now include:

(Organisation Name) File Release - (File Name)

For example, a file being sent from the Sun branding e-flow organisation, with a file name of 'Test Artwork File.pdf' would have a subject line of:

Sun Branding File Release - Test Artwork File. pdf

File Release Task now configurable in a Workflow Stage

Where required in a workflow template, a file release task can now be configured into a workflow stage within e-flow. This ensures that tasks can be grouped appropriately within a workflow and provides the ability to bypass a stage, including the file release task, if necessary. 

Note: only one file release task can be configured into a workflow.

File Upload, Contact Names & Email Validation

When a file is uploaded into e-flow, in any of the system areas, if any of the following characters are present the asset will not be uploaded and a validation message will display:

'Please enter a name that doesn't include any of these characters > <  " / \ * | ? ~ :'

When a contact is created or edited in any system areas, if any of the following characters are present, the field will not allow you to save and a validation message will display:

'Please enter First Name/Last name/email address that doesn't include any of these characters: > < " / \ * | ? ~ :

Global Search Updates:

Collapse Filters

When refining a Global search result using the search filters 'Organisation' and 'Refine by', clicking outside of the filter will now collapse the filter so that users don't have to manually collapse the filter. 

Batch Download Assets

When using Global search, and refining the results by 'Assets', users are now able to select the assets they would like to add to their e-flow shopping basket. Selecting the required assets is done by clicking the box in the top right corner of the thumbnail which is adjacent to the approval verdict of the asset. 

When one or more assets have been selected, the 'Add to Basket' button becomes active. Clicking on this button will add the selected assets into the users shopping basket.

The assets are then available in the shopping basket for downloading. 

Notification Hub

Create Ticket from Approval Session

Organisations who have enabled the Notification Hub feature within e-flow will now see a new button within approval sessions which will allow users to create Notification Tickets directly from the approval session.

Clicking on this button will display a modal containing details from the approval session, auto populating the name and discussion text and linking the associated asset and activity from the approval task. The user creating the ticket only needs to select a responsible contact to complete the create ticket process.

The user will then be redirected into the Notification Ticket page to add further details and comments in the discussion section as required. 

ProofScope > Find Palette

A new palette is available in the approval tool, which displays a search box which allows users to search for text in a PDF. 

To use the Find Palette, the document must include live text, and when a search term is entered into the text field, the search term enters is highlighted at every location where it features in the image and the image itself centres and zooms in automatically on the first result found. 

Match case allows the user to specify if case sensitivity is required in the search results. 

The number of results is displayed in the palette, and the user is able to use the arrows to navigate through the list of results. 

Revisions Tab > Linked Activities Limit

Where a singular asset has been linked to a significant number of workflow activities within e-flow; such as guidance documents or templates, the Activity Summary page Revisions Tab will now display a list of up to 25 of the most recent activities. 

Session Management & Password Expiry

To strengthen account protection, we have rolled out a new password policy - users who do not access the system via an SSO provider will need to update their passwords every 3 months, following the new password guidance in place. 

Regular password updates are a widely recommended security practice. This change helps prevent unauthorised access and ensures the ongoing protection of your personal information.

Additionally, session logins will now expire after 60 minutes, meaning users who are inactive or not actively accessing the system within that timeframe will be required to re-authenticate.

Visual Brief Tasks now configurable in a Workflow Stage

The functionality of the Visual Brief Upload and the Visual Brief Review have now been added to a workflow stage so that these features can be used more widely within the workflow. 

 

Bugs

  • Date pickers now stop text being input
  • Validation error when setting 'Days until Expiry' over 30 days has been fixed
  • Approval contacts getting replaced when adding new ones via approval edit task page has been fixed
  • Selected contact is displaying on the second contact picker modal has now been fixed
