Introduction:
The purpose of this guide is to explain what the basket is and how it can be used.
What is the Basket?
The basket is used for holding assets with three main purposes:
- To send multiple assets on an approval
- To download multiple assets simultaneously
- To compare 2 assets
The basket can be accessed at any time by clicking the basket button at the top right of the window.
Adding an asset to the basket from an asset library:
- Using the navigation bar, navigate to Assets
- Open an asset library
- Select the asset(s) you require adding to the basket by clicking the tick box (not the asset name or row as this will open the asset)
- Once all required assets have been selected, click the Add to Basket button at the top right of the window
- Continue to add assets from other libraries as required
How can I tell my assets have been added to the Basket?
Asset added to the basket is identified by a basket icon as shown below. In addition to this, the basket icon at the top right of the window will show the number of assets it contains.
Adding an asset to the basket from the Asset details page:
- Navigate to an asset and open it
- From the tool at the top of the window click ‘Add to Basket'
- The button will then change to ‘Remove from Basket’ should you wish to remove the asset from the basket.
Downloading Assets from the Basket:
- Access the basket by clicking the Basket button (shopping trolley icon) located at the top right of the window.
- Select the assets you wish to download by clicking each asset row (not the asset name as this will open the asset)
- Click the Download Selected Assets button
- Assets are added to a compressed folder and downloaded into your default browser downloads folder
Sending Assets on Approval from the Basket:
- Access the basket by clicking the Basket button (shopping trolley icon) located at the top right of the window.
- Select the assets you wish to download by clicking each asset row (not the asset name as this will open the asset)
- Click the
button located at the top right of the window
- In the dialogue box displayed, on the General tab, enter the Activity Name as to be displayed in the recipient's task list.
- Select the Calendar - selecting a 9-5 calendar will ensure the duration entered (8 hours in the image below) will be restricted to be within the hours of 9-5. Select a 24/7 calendar to allow the duration to continue after 5 pm.
- Select a Priority (Urgent / Normal / Low). This adds a flag to the task, visible in the recipient's task list.
- Enter Notes/Comments if applicable to provide details on what is required of the user(s) reviewing the asset.
Complete the Step
The Approval is delivered in steps. By default, there is one step but more can be added. Approval Steps can contain one or more users. Each user in the step will receive the task to complete the approval simultaneously. To add more people to review the asset AFTER the users in step 1 have reviewed the asset, then another step is required.
- As shown in the image below, enter a name for the step - in this example, we add the team name '1st Artwork' however your steps can be labelled any appropriate name.
- Add a duration for the step
- Click the pencil icon to select the users for the approval step
- In the dialogue displayed, confirm/enter the Step name
- Confirm/enter a duration for the step
- In the Select Reviewers section, select a User Role or a specific Contact
- To add additional contacts / Roles to the step, click the Add Reviewer button at the bottom of the dialogue box
- Select the Abort on First Rejection option to abort the approval as soon as one person provides a 'Not Approved' verdict
- Select the Allow users in the step to mark assets as Approved With Changes option to provide a third verdict of 'Approved subject to Changes'. The two standard verdicts provided for all approvals are 'Approved' and 'Not Approved'
- Once you have finished adding all reviewers for the step, click the Back button at the top left of the dialogue box.
Add Additional Steps
To add additional steps, click the Add Step button as shown in the image below. Re-order the steps using the arrows and delete a step using the delete button
Send the Approval
Once all steps have been added and reviewers have been selected for these steps, then click the Send button at the bottom right of the dialogue box.
