Introduction
The basket is used for holding assets with three main purposes:
- To send multiple assets on an approval
- To download multiple assets simultaneously
- To compare 2 assets
The basket can be accessed at any time by clicking the basket button at the top right of the window.
How to add an Asset to the Basket from an Asset Library
1. Using the navigation bar, navigate to Assets.
2. Open an asset library.
3. Select the asset(s) you require adding to the basket by clicking the tick box (not the asset name or row as this will open the asset).
4. Once all required assets have been selected, click the Add to Basket button at the top right of the window.
5. Continue to add assets from other libraries as required.
How to add Assets to the Basket from the Asset Details page
1. Find the asset and click on its name to navigate to the asset details page.
2. From the action tool ('...') in the top right, click ‘Add to Basket'.
The button will then change to ‘Remove from Basket’ should you wish to remove the asset from the basket.
How to add an Asset to the Basket from the global search
When using Global search, and refining the results by 'Assets', users are able to select the assets they would like to add to their e-flow shopping basket. Selecting the required assets is done by clicking the box in the top right corner of the thumbnail which is adjacent to the approval verdict of the asset.
When one or more assets have been selected, the 'Add to Basket' button becomes active. Clicking on this button will add the selected assets into the users shopping basket.
How to download assets from the Basket
1. Access the basket by clicking the Basket button (shopping trolley icon) located at the top right of the window.
2. Select the assets you wish to download by clicking each asset row (not the asset name as this will open the asset).
3. Click the Download Selected Assets button.
4. Assets are added to a compressed folder and downloaded into your default browser downloads folder.
How to send assets on approval from the Basket
1. Access the basket by clicking the Basket icon located at the top right of e-flow.
2. Select the assets you wish to download by clicking each asset row (not the asset name as this will open the asset).
3. Click the button located at the top right of the window.
4. In the dialogue box displayed, on the General tab, enter the Activity Name as to be displayed in the recipient's task list.
5. Select the Calendar - selecting a 9-5 calendar will ensure the duration entered (8 hours in the image below) will be restricted to be within the hours of 9-5. Select a 24/7 calendar to allow the duration to continue after 5 pm.
6. Select a Priority (Urgent / Normal / Low). This adds a flag to the task, visible in the recipient's task list.
7. Enter Notes/Comments if applicable to provide details on what is required of the user(s) reviewing the asset.
Complete the Approval Step
Approval Steps can contain one or more users. Each user in the step will receive the task to complete the approval simultaneously. There is one step by default.
1. Where it says ‘Step 1’ you can change to a different display name that the assigned reviewers will see in their Tasks page.
2. Add a duration for the step.
3. Click the blue pencil icon, select the user(s) for the approval step and select a User Role or a specific Contact.
4. To add additional Contacts / Roles to the step, click the Add Reviewer button at the bottom of the dialog box.
Add Additional Steps
To add additional steps, click the 'Add Step' button as shown in the image below. Re-order the steps using the arrows
and delete a step using the delete button
.
Once all steps have been added and reviewers have been selected for these steps, click the Send button at the bottom right of the dialogue box.
How to compare two Assets from the Basket
1. Click on the basket in the top-right of e-flow to open it.
2. Select the two assets you wish to compare by clicking in the grey area (clicking on the name will open the asset details page).
3. Click on the drop-down arrow next to the download button and select 'Compare two Assets' to open the online approval tool.
4. This will open a compare session in ProofScope.
